As a non-profit organization, the West Windsor Arts Council’s mission is to cultivate the artist within us all, while inspiring a creative community that is engaged, inclusive and equitable. We present a range of multi-disciplinary arts programs for all ages including over 300 arts and cultural events.. This includes 7 exhibitions, 130 classes, 18 camps and 3 community music and art events. and more.

The Program Coordinator works closely with all departments, reports to the Operations Director, and interacts regularly with the visiting public. This is a full-time position with a work week that aligns with evening and weekend programming, generally Tuesday through Saturday.

Duties and Responsibilities

Essential functions include:

PROGRAM SUPPORT

Customer Service: Provide welcoming and responsive service by interacting directly with customers and vendors; respond to inquiries in-person, by phone, or email; check-in students of all ages for classes

Program Coordination: Assist with the development of programs, create, process, and track registrations

Special Events: Coordination and running of special events and programs for the community

Parties and Rentals: Schedule and run art parties (for all ages) and rentals of the space

Communications: Support ongoing communications and surveys with donors, members, and event registrants

Customer Data: Keep all data clean and updated; make reports and mailing lists as needed

Website: Add/update programs and information as required

Administrative: Adding/updating events to the organizational calendar, sorting and routing of mail, copying; sorting, archiving and filing of records

ARTS CENTER FACILITIES OVERSIGHT:

Daily opening and/or closing of the facility

Day-to-day oversight of the facility including: materials and supplies inventory, cleaning, restocking of supplies, trash removal, recycling

Set up and restore spaces as needed, including chairs, tables, etc.

MARGINAL FUNCTIONS INCLUDE::

Retail Sales: Be knowledgeable and assist with the sales of works in current exhibitions

Volunteers/Interns: Help identify projects, train, and provide oversight to volunteers or interns

Marketing Support: Update external event calendars; contribute to social media posts; design flyers and postcards; assist with updating the website calendars

Other Duties as Assigned

Requirements

The ideal candidate will possess the following characteristics:

Self-motivated, organized, and detail oriented

Conduct themselves in a positive and professional manner

Excellent and clear communication skills

Reliable team player in a fast-paced environment

Strong ability to learn and utilize computer-based programs

Knowledge and passion for the arts

Retail sales experience, including cash handling

Spanish language skills a plus

Ability to lift up to 35 lbs.
