The Company & Assistant Production Manager is an integral member of the Production Department, supporting both the logistical and operational needs of the organization across all productions and programs. As Company Manager, this position ensures all housing, transportation, and hospitality needs of the company are met, playing a central role in welcoming and supporting artists and personnel across all main stage productions, GSP Selects programs, and the annual Gala. As Assistant Production Manager, this position supports the Production & Operations Manager in the timely and fiscally responsible realization of all GSP main stage productions, GSP Selects programs, educational programs, workshops and classes, and the annual Gala.

Duties and Responsibilities

KEY RESPONSIBILITIES
COMPANY MANAGEMENT
● Externally, assists the Production & Operations Manager in representing George Street Playhouse as a point of contact for the creative team of each production, including but not limited to actors, directors/choreographers, designers, music directors, musicians, stage management staff and fight directors. Internally, the Company Manager assists the Production & Operations Manager by providing support (including but not limited to administrative, set up/break down, shopping or errands) during pre-production, rehearsals, tech rehearsals and the run of each production.
● Responsible for the accurate and timely preparation, distribution, and collection of all Actors’ Equity Association contracts, cover sheets, riders, and other paperwork for all Actors and Stage Managers. Participates in and presents appropriate materials during “Equity Business” meetings for each production, including Welcome Packets with up-to-date information for each guest artist.
● Responsible for the development and execution of housing and travel plans for all company members, working within the budget for each production/project (including the annual Gala benefit), and serves as the primary contact for all housing and hotel agreements.
● Responsible for picking up and delivering artists to and from transportation terminals and hotels when needed and assisting artists with shopping and errands as necessary.
● Responsible for coordinating the upkeep and usage of GSP’s apartment, ensuring it has been cleaned and all contents are maintained and in good condition prior to the arrival of each new guest, stocking groceries or other consumable items as needed, and seeking potential sublease tenants between production seasons.
● Is responsible for developing and executing a hospitality plan for tech of each production/project (including annual gala benefit). This may or may not include working on hospitality in partnership with NBPAC Hospitality to ensure timing, set up, delivery, clean up and dietary needs are met for all company meals depending on location of the meals.
● Is responsible for coordinating hospitality and other event needs for all meet and greets, closing performance receptions, staff lunches, board meetings, and other special company events.
● The Company Manager is responsible for the administration of all Company Management supplies and equipment. In coordination with other members of the production office, the Company Manager should strategize storage plans for items large and small either in the office or off site.
● Coordinates all business-sponsored travel, housing, and hospitality arrangements for staff members and other meetings and activities as needed.
● Develops partnership relationships with vendors (such as hotels, car service agencies, restaurants) as agreed upon with the Production & Operations Manager, Artistic Producer, or Executive Director.
● Responsible for tracking all hospitality, travel and housing related expenses, and processing all invoices and Purchase Orders with the GSP Business Office in a timely manner.
● Supports the Production & Operations Manager with all activities related to the Annual Gala Benefit, helping to ensure seamless operations on the day of the event.
● Arrange and transport personnel to medical appointments when necessary.
● Arrange and transport personnel to medical physicians when necessary.
● Facilitate the rehearsal and pre-production needs by assisting Stage Management, in the purchasing, delivery, and set up of hospitality supplies.


ASSISTANT PRODUCTION MANAGEMENT
• Assists the Production & Operations Manager in tracking all department expenses, including labor, and processing all invoices and check requests with the GSP Business Office in a timely manner.
• Supports Production & Operations Manager in the weekly calculation, tracking, and completion of payroll/timesheets and paid time off for all production staff and over hire.
• Responsible for the timely reconciliation of expense reports and credit card purchases as submitted by the Costume Shop Manager and Props Supervisor, and other production departments.
• Assists the Production & Operations Manager with preparations for monthly budget reviews with Executive and Director of Finance.
• Responsible for attending and recording minutes at all Production Meetings.
• Assists the Production & Operations Manager in the execution and tracking the completion of all Designer, Creative Team, and Run Crew, contracts as requested by the Production & Operations Manager.
• Assists in the execution of seasonal calendars, production contact sheets, and the setting up production Basecamp folders for all productions.
• Assists in coordinating cross-departmental logistics to support the Annual Gala Benefit and other special organizational events.
• Assists the Production & Operations Manager with the purchasing, maintenance and scheduling of all GSP company vehicles

Requirements

QUALIFICATIONS
• 1-3 years' experience working in theater in production, operations, or related field
• Experience driving cargo and/or passenger vans a plus
• Excellent communication and interpersonal skills; ability and willingness to always exercise professional courtesy and discretion, and maintain confidentiality as required
• Knowledge of theatrical labor unions, contracts, and payroll practices preferred
• Strong computer skills, preferably including Microsoft Office products (Excel, Outlook, Teams, & Word)
• Strong attention to detail, flexibility, and resourcefulness
• Comfortable making decisions independently while knowing when to seek support
• Self-motivated and reliable, with a track record of seeing projects through to completion



JOB REQUIREMENTS
• A valid driver’s license
• Must be able to lift and carry up to 40lbs
• Must be willing to drive and/or travel via public transit throughout NJ, NY and PA
• Availability for late nights and weekends during tech weeks, preview periods, opening nights, and the annual Gala benefit

WORK HOURS
The standard office schedule is Monday - Friday, 10:00 AM - 6:00 PM. Regular attendance is expected at all company “Meet and Greet” events and other company sponsored events as applicable.
